Low-light events: do you need extra video lighting?

Extra video lighting is worth it only if faces are too dark for the moments that matter, and only if the light does not change how guests experience the event. Often the easier fix is to raise the room lights for a few key moments.

What are your options in a dim room?

There are four. They go from least to most change for guests.

How do we decide?

Start with the moments you cannot afford to lose. For most events these are speeches, the couple or guest of honour, awards and group photos. Light those, not the whole room.

Then ask three questions:

  1. Will the light be seen or felt by guests?
  2. Does the venue allow lights, stands and cables?
  3. Is the mood part of the event, such as candles or a club setting?

If the mood matters, accept some grain and a darker, warmer look. It can suit the event well. If clear faces matter more, such as at a presentation or a wedding speech, ask for more light at those moments only.

What can the venue do?

Ask the venue or AV team:

  • Can the room lights be raised for 10 minutes during speeches and cake?
  • Is there a light on the stage or the head table?
  • Can a light be pointed at the lectern?
  • Where are power points, and can we put a stand there?
  • Do you need to approve added lights beforehand?

Who is responsible for lights and cables?

Agree in writing who brings the lights, who supplies power and who keeps cables safe. A light stand in a walkway is a trip hazard. See camera cables, power and safe routes for how this is usually shared.

Large halls can add another layer. In a ballroom, house lighting and service routes decide where stands can go.

A worked example

This is an illustration, not a past job. Imagine an evening reception at a restaurant terrace with candles and string lights.

  1. The host decides the candlelit look matters, so no big lights.
  2. The crew asks the restaurant to turn the string lights up a little for the speeches only.
  3. One small, soft light is placed to the side of the speaker, away from guests.
  4. Arrival and dinner are filmed in the existing light, with some grain.
  5. The host receives a film that looks like the evening felt.

If a guest speech were more important than the mood, the host might choose more light during the speech. The choice is theirs, and we explain what each option changes.

Questions people ask

Do we need extra lights for a dim event?
Not always. Modern cameras cope with low light better than before, though faces may look grainy or dark. Extra lights help most for speeches, presentations and group shots. We decide after seeing the room and talking about the mood you want.
Will video lights spoil the atmosphere?
They can, if they are bright and aimed at guests. A small soft light, used only during key moments, usually disturbs far less. If candles or soft lighting are part of the event, tell us. We can plan to keep that look and accept some grain.
Who arranges the lights and the power?
Agree this in writing before the day. Tell us if the venue supplies or restricts lights, and we confirm what we bring. Ask the venue about power points, stands and any approval needed.
Can the venue raise its own lights instead?
Often, yes, for key moments such as speeches or cake cutting. Ask the venue or AV team. It costs the mood very little and is usually the easiest fix.
