In short
- Decide who will watch the video before you decide what to film.
- A record of the event, a promotional film and an internal clip are three different jobs.
- Name the person who approves the video, especially for investor, press or executive content.
- Parallel sessions and several venues change how many crew you need.
Corporate event video works best when you decide who will watch it before you decide what to film. A board, a sales team, a delegate who missed the day and a prospective sponsor each need something different.
Which type of corporate event are you filming?
The event type usually tells you what the video must do.
| Event | What the video usually has to do | Start with |
|---|---|---|
| Conference or convention | Keep a record and give you promotional material | Conference and convention videography |
| Town hall or staff briefing | Reach people who could not attend, within the company | Town hall and employee briefing videography |
| Investor briefing or results | Record accurately, with clearance before anything is shared | Filming investor briefings |
| Training day or workshop | Serve learners later, without recording what should stay private | Recording internal training days |
| Annual dinner or awards | Capture people and presentations in a fixed order | See annual dinner and awards ceremony videography |
Three distinctions that shape the brief
Record, promotion or internal use. A record keeps sessions complete. A promotional film is short and selective. An internal clip may carry content that must never be public. One event can need all three, so name them separately.
Who approves. The organiser, the speaker’s office and the communications team may all have a say. Agree who signs off, and in what order, before editing begins.
What happens at the same time. Breakouts, side rooms and a second venue are where plans break. A 2025 conference production brief published by SIDEC, for example, asked for coverage at two venues with separate crews, daily highlights and raw footage handover. It shows how one conference can carry several jobs at once.
A suggested order
- Write down the audience for each video you want.
- List the sessions, rooms and times, and mark where they overlap.
- Name your approver and backup.
- Choose the outputs, then ask for a quote.
The tool to build an event video brief you can send and the video decisions and approvals planner help with steps 2 and 3. For the full picture of what we offer, see corporate event videography.
If you know the date, the venue and who will watch the video afterwards, that is enough for a first conversation. Send us those details and we will tell you what we can cover and what we would need to confirm.
