How it works

How an enquiry becomes a booking

You want to know what happens after you message us, and when a date is held.

Sending a message is an enquiry. A date is only reserved once the scope and booking are agreed with you.

In short

  • You enquire by WhatsApp. An enquiry never reserves a date.
  • We agree scope with you first: date, area, hours, crew, films and travel.
  • A booking is confirmed after scope and terms are agreed.

You message us on WhatsApp, we agree what is to be filmed, and a booking is confirmed once scope and terms are agreed. Until then, no date is held.

The steps

  1. You send an enquiry. Use the enquiry page or WhatsApp. Include the date, venue or town, type of event and the films you want. A rough idea is fine.
  2. We ask what we need. We may ask about the programme, the number of people, the places to be filmed and who approves what. A run sheet or short brief helps if you have one.
  3. We check what is possible. Tell us the venue and date, and we confirm the crew and travel. Specialist items such as livestreaming, same-day edits, drone footage, multiple cameras and captions are available on request and confirmed for each event.
  4. You receive a written quote. It is made for your event and lists the coverage hours, crew, films, review steps and how files are delivered, so you can compare it with other quotes.
  5. Scope and terms are agreed. You tell us what to change, and we update the quote. When both sides agree, the booking is confirmed.
  6. We plan the day with you. We confirm the run of the day, the key people and moments, sound and any private boundaries.
  7. We film. The crew follows the plan, and we stay in touch if the programme shifts.
  8. We edit and deliver. You review the films, send feedback and receive the final files as set out in your quote.

What is committed at each step?

An enquiry commits neither of us. A quote is our proposal, and it becomes a booking when scope and terms are agreed. You are free to stop at any point before that.

How to prepare

A few details bring a quicker and more accurate quote. The event video brief builder puts them in one place, and the booking scope checklist shows what to confirm before you agree. To see what shapes the price, read how video pricing works.

The first message can be short. Send the date, venue and type of event, and we reply with what we need next.

Questions people ask

Does sending an enquiry reserve my date?
An enquiry starts a conversation. A date is booked after the scope and terms are agreed between us and confirmed.
What do I need to send in the first message?
The date, the venue or town, the type of event and the films you have in mind. If any of these is unsure, say so and we help you work it out.
How is the price decided?
Each event is quoted from its own scope: date, area, hours, crew, films and travel. The pricing page explains the factors.
Can I change the plan after booking?
Plans often move a little. Tell us when something changes and we say what it means for coverage and the quote. Terms for changes are agreed before a booking is confirmed.
