In short
- The checklist finds terms still missing. It does not write a contract.
- A date stays unconfirmed until both sides confirm it in writing, and the checklist never reserves a crew.
- Fees, payment and cancellation are recorded from the supplier's own written terms.
This checklist helps you see what is still missing before you confirm a videography booking. It is a discussion aid, not a contract.
What is it for?
Bookings go wrong when each side assumes the other agreed something. The checklist lists the points that matter, such as hours, crew, outputs, payment and privacy, and shows which ones you have actually settled in writing.
How do I use it?
- Enter the contracting party, the event and the date. Say whether the date is tentative or confirmed by both sides.
- Add the start and end times if you know them.
- For each point, choose Not discussed yet, Still discussing or Agreed in writing.
- For anything agreed, write what was agreed in your own words. For fees, payment and cancellation, copy from the supplier’s written terms.
- Read the list of points still to settle.
How do I read the result?
At the top, a box says that nothing is reserved. Below it you see how many points are agreed, the date status and the total hours. Each point has a status, and the final list gives a prompt for each point that is still missing.
What are the assumptions and limits?
- Prices, payment rules and cancellation terms come from the supplier’s own written terms.
- This is not a legal contract and does not replace one.
- An unconfirmed date remains unconfirmed, and completing the checklist does not reserve a crew.
- Hours past midnight are counted as the next day.
- Your answers stay in this browser tab unless you save the event basics on purpose.
A worked example
This is an illustrative example. A society is holding an annual dinner and has talked to a videographer. The date is marked tentative, hours and outputs are agreed and written down, and payment is still being discussed.
The checklist shows the date as unconfirmed and says nothing is reserved. Every point not yet agreed in writing, including the date, payment, cancellation, privacy and handover, appears under “Still to settle” with a question to ask.
