Use this worksheet to see what your event video budget adds up to today, and which parts still have no price. It works with the figures you type in.
What is it for?
Most budgets start with a few firm quotes and a list of things nobody has priced yet. A single total hides that gap. This worksheet shows the known total, the unpriced items and the assumptions side by side, so you can plan around what is real.
How do I use it?
- Add a line for each part of the plan, such as filming days, an edit or captions. The scope buttons add a labelled row without any price.
- Type a quantity and a rate for the lines you have a quote for. Leave the rate blank if you do not know it yet.
- Pick the currency on each line.
- Tick Taxable on lines that carry tax, and enter the tax rate once you have confirmed it.
- Add a contingency percentage if you want a buffer shown separately.
How do I read the result?
The large figure is the known total before tax and contingency, worked out as quantity times rate for priced lines only. Tax, contingency and the combined figure sit below it as separate lines.
Unpriced items appear in their own list with the reason, such as “rate not confirmed”. They sit outside every total. The open questions list turns each one into something you can ask a supplier.
What are the assumptions and limits?
- A line counts when it has both a quantity and a rate. A rate of zero counts as zero; a blank is unknown.
- Totals are added within one currency. Converting needs an exchange rate, its date and the direction, all entered by you, and the result states which rate was used.
- Tax applies to the ticked lines at the rate you enter. Which services are taxable is for you to confirm.
- The worksheet is a planning aid. For a tax question, ask a qualified adviser.
A worked example
This is an illustrative example, not a real quote. Suppose you enter 2 filming days at RM1,000 and 1 edit at RM500. The known total is RM2,500 before any tax or contingency.
In the same example, you also add a travel line with no rate. It stays in the unpriced list and the total is still RM2,500. If you then add one line priced at SGD 100, it appears as a separate SGD subtotal rather than turning the total into RM2,600.
