Use this worksheet when you hold two or more videography quotes and want to see what is really the same and what is not. It shows gaps clearly and leaves the choice to you.
What is it for?
Quotes rarely list the same things. One may include a full recording and travel; another may give a lower price and say nothing about either. Putting them in one table, with unknowns marked, shows where the difference lies before you decide anything.
How do I use it?
- Add one card per supplier. Two are shown to start; you can add up to four.
- Enter the quoted price and currency. Say whether tax is included, and whether travel is included, charged separately or not stated.
- If tax or travel is charged on top, enter the rate or amount. If the quote does not say, leave it as “Not stated”.
- Open the scope list and mark each item as included, not included or unknown, exactly as the quote reads.
- Open the terms list and type what the quote says about crew, cameras, audio, deadline, revisions, rights, retention and payment. Leave it blank if it is silent.
How do I read the result?
Each column is a supplier. The known total sits at the top with a status. “All costs entered” means price, tax and travel are each settled. “Incomplete” lists what is missing.
The scope rows show included, not included or unknown for each item, and mark rows where the quotes differ. Any term you left blank shows as “not stated”. Below the table, every supplier gets its own list of questions still open.
What are the assumptions and limits?
- A total is the quoted price, plus a separately stated travel charge, plus tax only if tax is stated as extra and you entered the rate. Tax is applied to price plus separate travel.
- Unknown stays unknown. An unknown travel charge is not zero, and an unmarked item is not included.
- Totals in different currencies are not compared. Converting needs your own exchange rate, date and direction, and the table says so.
- No supplier is ranked or scored, and incomplete quotes are never presented as lower.
- This is a reading aid for quotes. It does not measure quality, style or fit, and nothing is reserved by using it.
A worked example
This is an illustrative example, not a real quote. Supplier A quotes RM3,000 with tax included, travel not stated, and a 3-minute highlight film only. Supplier B quotes RM3,500 with tax included, no travel charge, and a highlight film plus a full ceremony recording.
In this example, A’s total shows as RM3,000 but incomplete, because travel is unknown. B’s total is RM3,500 and complete. The table also flags that only B includes a full recording, so the two totals do not buy the same thing. The open questions for A start with the travel charge and the full recording.
