Use this calculator when an event may run past the time you agreed with your videographer. It shows how long the extra time is, and it works out a charge only from terms you type in yourself.
What is it for?
Events run late. A speech goes long, dinner starts after the planned time, a ceremony is delayed. The agreement usually says how extra time is counted, but the wording is easy to misread.
This tool sets out the arithmetic step by step, so you and the crew read it the same way. The thinking behind the terms is in how overtime is defined in a videography booking.
How do I use it?
- Enter the date, the agreed end time and the actual or requested end time. Add the agreed start time if the agreed end is after midnight.
- If the event ends on a different date from the agreed end, set the date of the actual end.
- If your agreement says how overtime is billed, enter the billing increment in minutes, choose how a part-increment is counted and type the price per increment.
- Add a grace period only if the agreement gives one, and choose how it works.
How do I read the result?
The working lists each calculation line. The first figure is the time over the agreed end.
If you filled in the increment, the rounding rule and the price, a charge appears. If any of the three is missing, the tool says which one and shows no charge. Nothing is assumed in its place.
What are the assumptions and limits?
- Times are Malaysia time.
- There is no default increment, rounding rule or rate.
- A grace period either comes off the overtime, or works as a free window where charging starts only once it is passed. Pick the one your wording describes.
- Tax, travel, meals and crew availability are not included. Whether the crew can stay on is confirmed with them, never assumed.
- It is a planning aid, not a quote or an invoice. Your signed agreement decides what is payable.
A worked example
This is an illustrative example. An event is agreed to end at 22:00 and finishes at 22:40, so the time over is 40 minutes.
Suppose the agreement says overtime is billed in 30-minute increments, rounded up to the next increment, at RM200 per increment (example figure only). Then 40 ÷ 30 is 1.33, which rounds up to 2 increments, and 2 × RM200 is RM400. Without those three terms, the tool shows the 40 minutes and no charge.
When should I message us?
If you expect to run late and want to know whether the crew can stay on, message us with the date, venue and the new finish time you expect.
