What changes when the venue changes?
Almost everything about the day’s filming depends on the room. Use this table to see what to recheck.

Which venue rules should you ask about?
Venue rules differ, so ask rather than assume. For example, the KL Convention Centre guidelines ask organisers for advance notification of commercial filming or recording and coordinate camera positions and cable runs with the venue. Other venues may have their own approvals, fees or restricted areas.
Ask the new venue:
- Do you require notice or approval for commercial filming?
- Are there areas where cameras or tripods are not allowed?
- Who coordinates camera positions and cable runs?
- Is there an in-house audio-visual (AV) team, and can we connect to its audio?
What about drone footage?
A drone permission is linked to a site and a date. If the venue changes, the earlier plan no longer applies. CAAM’s guidance says standard applications are made at least 14 working days before the activity, with additional authorisation in Sabah and Sarawak. So a late venue change may not leave time to apply again.

How do you update the booking?
- Tell your videographer the new venue name, address, hall and contact person.
- Share the programme if it has changed with the move.
- Ask for a revised plan covering access times, camera positions and travel.
- Ask for a revised written quote if scope changes. Each event is quoted from its own scope, so request itemised changes.
- Confirm in writing that both sides accept the update.

What if the date changes too?
