In short
- Decide first what the video is for: a season film, team keepsakes, the club's own channels or sponsors.
- Children are on camera, so settle consent and sharing rules before the first match.
- Choose a few key days to film, not every fixture. Cup finals and presentation days usually matter most.
- Give families a clear, single place to see what exists and how to ask for it.
A youth league has one problem a one-day tournament does not: the same children, families and teams appear all season. Start by deciding what the video is for, who decides how it is shared, and which days are worth filming.
What is the video for?
Different purposes need different coverage. Pick one main purpose.
| Purpose | What it needs | Typical days to film |
|---|---|---|
| Season film for the club | Opening, key matches, trophies, team spirit | Opening day, cup final, presentation |
| Team keepsakes | Each team’s own matches or training | A few fixtures per team |
| Club channels and recruiting | Short clips with clear consent | Any day with permission |
| Sponsor report | Sponsor banners, crowd, trophy moments | Finals and prizegiving |
For example, a club with ten age-group teams might decide to film only the opening weekend, two cup finals and presentation day (an illustration). That is a clearer brief than “film the season”.
How should the club handle consent and sharing?
Children on camera need extra care. Ask your league, club and, if needed, a qualified adviser what rules apply to you. Then write the answers down so families know what to expect. A short checklist helps:
- Do families know filming will happen, and are they told before the first match?
- Can a family say no, and how does the club make sure those children are not featured?
- Is footage shared publicly, by private link or only with members?
- Who is the named contact if a family wants a clip removed?
- Are children’s names used on screen or in captions?
Our filming and publication responsibilities checklist lays out these questions for the organiser, supplier and adviser. The permissions and privacy guide explains the wider picture.
Which days and matches should be filmed?
Rank days by what cannot be repeated: opening ceremonies, cup finals, trophy presentations and end-of-season gatherings. Regular fixtures can often be left to parents’ phones or covered in short visits for clips.
If the league plays at several grounds, a crew can visit one ground per session or move between nearby pitches when kick-offs are spaced out. The run-sheet filming planner helps map this. For tournaments run over one or two days, see the football and futsal guide.
How do you coordinate teams and families?
Name one person at the club who talks to the videographer and one who handles family questions. They can be the same person. Then share a simple plan with coaches and parents:
- Which dates will be filmed, and where.
- Where the camera will stand, so families do not feel watched.
- What videos will exist and how to ask for a copy.
- How to opt out.
What can the crew do on the day?
Unless the club agrees otherwise, our crew stays outside the play area. We follow the instructions of coaches and officials, avoid filming children who have been marked as opt-out, and film moments such as warm-ups, goals, celebrations and trophy presentations. Filming at school events is covered on our school sports-day page.
What we confirm for your event
- How we identify children who must not be filmed: from the opt-out list and marker the club gives us.
- Where footage is stored, and who sees it before release.
- What the club and families receive, and in what form.
- Who may use the clips, and for what.
- What happens to unused footage.
Our sports event videography page explains the wider offer, and the highlight film service is a common choice for a season film. For a legal question about your event, ask a qualified adviser.
If you can tell us how many teams play, on which days and what the club wants to do with the footage, we can suggest a coverage plan that fits. Send the fixture days and venue and we will check what is possible.
