Commissioning event video when you are not in Malaysia

You can brief a videographer well without seeing the venue, if you replace your visit with three things: a person on the ground, a clear run of the day and an honest list of what you do not know yet.

What can you prepare before anyone visits?

Most of a good brief does not need a site visit. Prepare these first:

  • The event and the date, including the city and the venue name.
  • The run of the day, even if it is only a rough order with approximate times.
  • A local contact: a family member, a planner, a venue coordinator or a colleague who can answer questions.
  • The outputs you want, such as a short highlight film, full speeches or social clips.
  • Moments and people that matter, described by role, such as “the bride’s grandmother” or “the guest of honour”.
  • What must not be filmed.

Why a local contact decides most of the outcome

When you are away, a local contact is the person who can say “the stage is on the left” or “the ceremony starts earlier than planned”. Choose someone who knows the programme, can be reached by phone on the day and whom you trust to make small decisions for you.

Tell us who this person is and what they may approve. If there is also a planner or venue coordinator, include both, so the crew knows who to ask about what.

An example: briefing from overseas for a company dinner

An example: a wedding planned from abroad

Overseas couples often plan a Malaysian wedding months ahead and arrive only days before. Again this is an illustration. The couple can decide the ceremonies, the languages and which family members need to be filmed, and name one relative as the contact.

What to agree before the event

  1. Who approves the brief and who can change it on the day.
  2. How you will communicate: a messaging thread, a call before the event and when you are reachable across the time difference.
  3. How venue details reach you: photos, a floor plan or a short message from the venue. If the venue or programme is not final yet, read booking video when the venue or programme is not final.
  4. How you receive the video and who reviews it.

What we confirm for your event

We confirm what you cannot see: camera positions, sound options, access and timing at the venue. Tell us the venue and date, and we confirm the crew and travel. Ask for these in writing, and see what happens between an enquiry and a confirmed booking so you know when a date is actually held.

Questions people ask

Can I hire a videographer without visiting the venue?
Yes. A remote brief works. The crew checks the venue details with the venue or your local contact, and you share the programme, the people who matter and the outputs you want. What you cannot see yourself, you ask someone local to confirm.
Do I need a local person on the day?
It is strongly advised. Someone who knows the family, the guests or the programme can point out key people, answer quick questions and approve changes while you are away. They do not need to be a professional, only reachable and informed.
How do we handle the time difference?
Agree the decisions that cannot wait and who may make them, then set when you will be reachable. Written messages work well for details, and a short call before the event settles anything unclear.
What if the venue changes after I book?
Tell us as soon as you know. A new venue can change the camera positions, sound and travel, so the scope is checked again. That is a normal part of remote planning and is easier to manage when your local contact is involved.
How will I receive the finished video from abroad?
Agree the method before the event: how files are delivered, who reviews them and how feedback reaches us. Because you cannot collect anything in person, the delivery steps should be written in the quote.
