Filming vehicle launches and live product demos safely

Your reveal or live demonstration happens once, and the organiser decides where the crew can stand.

Share your date and area, and we will suggest coverage and confirm what is possible.

In short

  • The organiser's written safety and access rules decide where the crew may stand.
  • A reveal happens once, so agree camera positions and cues at the rehearsal.
  • Moving demonstrations are filmed from permitted zones, often with longer lenses.
  • Drone shots are optional and need approval first, so plan a ground alternative too.

Start with the organiser’s written safety and access instructions. They decide which demonstration moments the crew can film, from where, and when. Everything else, from lens choice to the number of cameras, follows from that.

Which demonstration moments can we cover?

A vehicle launch or live demonstration usually has a handful of moments viewers remember. Some are easy to film safely. Others need more planning.

Moment Why it matters What to plan
The reveal It happens once and sets the tone Rehearsal, a clear cue and more than one angle
Walkaround or display Shows design and detail Set aside time before guests arrive for close-ups
Live demonstration Shows the product working Permitted zones, longer lenses, a safety briefing for the crew
Presenter and guest reactions Gives context and credibility Camera positions that do not block seating
Hands-on or test sessions Shows real use Agree who may appear and whether visitors are filmed

Choose the moments that matter most to your audience. Our must-capture moments checklist helps you rank them with your team.

What does organiser-controlled access mean for the crew?

In many demonstrations, the organiser or the operator controls the area. That can include a drive lane, a stage with moving equipment or a barricaded display.

Ask for the following in writing and send it to us:

  1. The access map, with restricted and permitted zones marked.
  2. Any personal protective equipment or clothing the crew must wear.
  3. Who gives the go-ahead during the demonstration, and how.
  4. Whether the crew may move between positions during the show.

We follow these instructions even when a better angle is just outside the zone. If an angle you need is not allowed, tell us early, and we suggest a longer lens, a higher fixed position or a rehearsal-only shot.

How do we plan a reveal that happens once?

A reveal is the one moment you cannot reshoot. Good planning reduces the risk.

  • Attend the rehearsal if there is one. Check lighting, stage haze, curtains and the vehicle’s path.
  • Agree the cue. The crew needs to know when the reveal starts, not guess.
  • Use at least two angles when possible, one wide and one on the detail. Multi-camera event recording is available on request, confirmed for each event.
  • Record clean sound. Engines, music and an announcer often fight each other. The event audio guide explains how to plan it.

What about moving vehicles and heavy equipment?

The crew stays out of the working area unless the organiser says otherwise and shows how. For moving demonstrations, we film with longer lenses from permitted positions, away from a vehicle’s path or an exit route.

Ask the organiser whether the demonstration can be run once more after the main show for close-ups, with no guests present. Some organisers can do this for a short slot, but it is their decision.

Can we use drone footage?

Drone footage can add scale to an outdoor demonstration, but it is a conditional option. The Civil Aviation Authority of Malaysia (CAAM) states that standard drone applications should reach it at least 14 working days before the activity, with additional authorisation in Sabah and Sarawak. The venue and organiser must agree as well. Read our drone guide before you decide, and plan a ground version of each shot in case approval does not come in time.

What we confirm for your event

  • How we handle a reveal that only happens once: rehearsal, cue and at least two angles.
  • What we need from the organiser before the day: the access map, safety briefing and run order.
  • Which films the quote covers: a highlight, social clips, the full reveal.

If you need a fast edit of the reveal for screening that evening, see same-day event edits. For the full launch film, see our product launch event videography service. The launches and activations guide hub lists the other decisions in this area.

Share the run order, the demonstration areas and any written safety instructions from the organiser. We will tell you which moments we can cover from permitted positions and where a second camera helps.

Questions people ask

Where will the crew stand during a live vehicle demonstration?
Only where the organiser's safety briefing allows. We ask for the access map and any restricted zones beforehand. If the best angle is not permitted, we use a longer lens, a raised position inside the allowed area, or a different camera placement agreed with the organiser.
Can you film the vehicle reveal if it only happens once?
Yes, with planning. We attend the rehearsal if one is held, agree the cue for the reveal and place cameras so that one failure does not lose the moment. A second angle is worth considering.
Is drone footage possible for an outdoor demonstration?
Sometimes. It depends on approval from the relevant authority and the venue, and the authority asks for standard applications at least 14 working days before the activity. Ground shots are the main plan, and drone shots are added if approval comes in time.
Who is responsible for safety at the demonstration?
The organiser and the demonstration operator are responsible for the safety of the activity. The crew follows their instructions, wears what they require and stays out of the demonstration area. Please share the written briefing with us before the day.
Can we get a quick edit of the reveal on the same day?
A same-day edit depends on the camera positions, the transfer of footage and the deadline for the screening. Tell us what time you need it and where it will be shown.
