When a crew travels to your event, the travel is its own part of the quote. The useful question is not only how much it costs, but who books it, who pays for it and who can approve a change.
What is included in travel costs?
Travel is rarely one number. A clear quote separates these parts:
- Transport: how the crew and equipment reach the venue and return.
- Accommodation: whether a stay is needed, and for how many nights.
- Meals and local movement: food and transport at the destination, if not provided.
- Crew time: time spent on the road that cannot be used for other work.
- Set-up or rehearsal day: if the crew must arrive before the event day.

How far will the crew travel?
Tell us the venue and date, and we confirm the crew and travel. The further the venue is from the crew’s starting point, the more transport, and sometimes a stay, the job needs.

Who books, who pays and who approves?
Four decisions keep outstation costs calm. Write each one into the quote or booking.

Where you pay directly, ask for receipts in your company’s name if you need them for claims. Where we pass costs on, ask for the line items, not one lump sum.
An example offsite
For example, a company holds a two-day offsite in another state. The crew must arrive the evening before to check the venue and film an early session. A clear request would state:
- The venue, town and exact times for each day.
- Whether the crew arrives the night before, and who books the stay.
- Whether meals are provided by the organiser.
- How equipment will travel, and who pays for it.
- Who must approve a change to flights or rooms, and how fast they must answer.
