Filming in East Malaysia with a travelling crew

Your event is across the sea from where the crew starts, and you need to plan for it.

Share your date and area, and we will suggest coverage and confirm what is possible.

In short

  • Treat the trip as a production task: travel days, equipment, venue access and a fallback if a flight changes.
  • Equipment is the part most often forgotten. Ask what travels with the crew, what is hired locally and who is responsible for each.
  • Drone flying in Sabah and Sarawak needs additional authorisation, so ground shots are planned too.
  • Agree who pays for travel, how changes are handled and who the on-site contact is before you confirm.

Moving a crew between Peninsular and East Malaysia is a production task, not only a flight booking. The crew, the equipment, the venue access and the schedule all need to be confirmed together, with a fallback if something shifts.

What changes when the crew crosses the sea

Most of the usual event planning stays the same. What changes is how much margin you need.

  • Travel days. Flights, transfers and a night before the event all take time that does not appear on the run sheet. Ask for these to be written into the plan.
  • Equipment. Cameras, lenses, audio gear and batteries either travel with the crew or are hired locally. Each choice has trade-offs in cost, familiarity and risk.
  • Access. Venue loading rules, setup times and rehearsal access are set by the venue, not the crew.
  • Local conditions. Rain and road conditions can affect movement between sites.

Crew and equipment: the two decisions

Decide these before price.

Question Option A Option B
Who films? Our crew travels from where you start Our crew meets you in Sabah or Sarawak
Whose equipment? Crew brings their own Crew uses locally hired gear
What it protects Style continuity Reduced travel risk
What to watch Delays and baggage limits on the trip Consistency of look and handover

Neither is always better. If you are weighing them, our guide on local crew or travelling crew sets out the criteria. If the equipment is the question, ask exactly what the crew carries, what is hired and who is responsible if an item fails.

Venue access and approvals

Many large events in East Malaysia use well-known convention centres, such as SICC in Sabah and BCCK in Sarawak. Each venue has its own loading, setup and filming rules, so ask the venue for them early; they may differ from a venue in the Klang Valley.

Drone footage needs particular care. CAAM states that drone applications in Sabah and Sarawak need additional authorisation, and standard applications are made at least 14 working days before the activity. For a drone request we also plan ground shots. See our drone planning checklist and the guide to conditional drone coverage.

A simple checklist for the brief

Send these to us in one message.

  1. City, venue and the exact dates, including the set-up day.
  2. Where the crew should start from.
  3. The run sheet or a first draft of the programme.
  4. Outputs wanted, such as highlight film or full speeches.
  5. Whether a drone, live feed or second camera is wanted.
  6. Who is the on-site contact and who approves changes.

The run-sheet coverage planner helps you turn the programme into a coverage plan.

Responsibilities and limits

The organiser shares dates, venue contacts and any rules. The crew confirms travel plans, equipment and arrival time. Whoever pays for flights and accommodation, agree it in writing so there is no surprise.

Flights and ferries can change for reasons nobody controls. A good plan has a buffer day or a named fallback, so a delay does not cost you the main moments.

What we confirm for your event

  • Which travel days are in the quote, and who books them.
  • What equipment travels, what is hired locally and who is responsible for each.
  • Who covers the opening if the crew arrives late.
  • How a flight change the day before is handled.
  • Whether a drone is possible, and the ground shots planned with it.

Use the travel cost worksheet to list the travel costs next to each quote.

Where we can help

Questions people ask

Do you send a crew between Peninsular Malaysia and Sabah or Sarawak?
Yes. We check the dates, the venue and the brief, then confirm the crew and travel for your event.
Is it better to hire a crew in Sabah or Sarawak instead?
Sometimes. Someone based there knows the venue and the roads, while a travelling crew brings a way of working you already know. Our guide on local versus travelling crews compares the two.
What happens if the flight is delayed on event day?
Plan for it early. A crew that arrives the day before has a buffer, and an agreed fallback protects the key moments. We settle this when we scope the job, before you confirm.
Can you bring a drone to Sabah or Sarawak?
Drone footage depends on approval. The Civil Aviation Authority of Malaysia (CAAM) states that Sabah and Sarawak need additional authorisation. We also plan ground shots, and confirm for your date what is possible.
Will travel be a separate line in the quote?
Yes, travel is shown clearly so you can compare quotes fairly. Each event is quoted from its own scope: date, area, hours, crew, outputs and travel.
