When a supplier hands part of a job to another crew or editor, you can still stay in control. Ask who is accountable to you, what each person can see, and who checks quality. You do not need every detail of how the work is organised.

Why might extra people be involved?

A supplier may add a second camera, a specialist, or an editor for a job that is far away or large. This is a normal way to cover events across Malaysia, and it works well when it is explained to you first.

What do you need to know, and what can you leave?

You need enough to trust the arrangement, not the supplier’s full workflow.

Who is accountable to you?

Ask this first. The business named on your quote and invoice should be the one you deal with, and it should answer for the whole job.

Look for these in the quote or a short email:

  • the business that signs the quote and receives your payment
  • a statement that the same business is responsible for the final films
  • a single contact who handles questions before and after the day

What can others see or keep?

Footage can contain faces, speeches and private moments. If anyone besides the main team works on it, ask:

  1. Which files will they receive: all of them, or only the part they need?
  2. Where do the files go, and how are they sent?
  3. Are copies kept after the job, and for how long?
  4. Do the same confidentiality and usage terms apply to them?
  5. May they use the footage in their own showreel or social posts? The answer should be no unless you agree.

Who checks the quality?

When one person films and another edits, nobody may see the whole result until the end. Ask who reviews the film before you do, and against what. A good answer is that the edit is checked against the agreed list of films, sound and moments before it reaches you.

Ask also how your review works: how many review rounds the quote includes, who collects your comments and who makes the changes. The video review and revision planner helps you set this up.

What does a clear answer sound like?

For example, an organiser asks about an outstation conference. The supplier replies that a second crew will film the second hall, one editor will cut everything, the supplier remains responsible for the final films, files are shared only through an agreed link, and copies are deleted after the review period. This is an illustration of a clear answer, not a past job.

Is it a problem if a videographer brings in an extra crew or editor?
Not by itself. Many outstation events are covered with extra hands. The problem is when you are not told. Ask to be informed before booking, and ask who stays responsible to you for the final result.
Do I need to know the name of every person who touches the footage?
Not always. You need to know the roles involved, who is accountable to you and what access each role has. For a sensitive event, ask for more detail, such as who edits and where the files are stored.
Who is responsible if someone on the job makes a mistake?
The business you contracted should answer to you for the whole job. Ask plainly and look for a clear answer, ideally written in the quote. A reply such as 'that is up to someone else' leaves you with no one to speak to.
Can I ask for a specific editor or crew arrangement?
You can ask. It may affect the date, the area or the cost, and a good supplier explains how. For a private event, state your condition early and ask whether it is possible.
What happens to the footage after the job?
Ask who keeps copies, for how long and who may delete them. The answer should cover everyone who worked on the files, and it should be settled in writing before the day.
