Photo and video

Photography and videography at the same event

You want photos and video from one event, with both teams working well together.

Share your date and area, and we will suggest coverage and confirm what is possible.

In short

  • Photographers and videographers need the same moments but different positions.
  • Agree who covers what, so nothing is missed and nobody blocks the other.
  • You can bring your own photographer, and we plan the video around them.

When photos and video are both wanted at one event, the two teams need to know their roles before the day. A clear plan means both get the moments they need and your guests are not stepping around two sets of equipment.

Why plan the two teams together?

A photographer and a videographer often want the same moment, from different places. A photographer may want a clean frontal shot. A videographer needs a steady position, room for movement and clean sound.

Without a plan, they either crowd each other or each leaves a gap and assumes the other has it. A short agreement beforehand avoids both.

Who does what?

The simplest approach is to give each team a clear job, then mark the moments they share.

Moment Photographer Videographer
Arrivals and portraits Leads, with posed shots Records candid moments around them
Key ceremony Positions that do not enter the video frame Fixed, steady position with clean audio
Speeches Reactions and details Continuous recording of the speaker
Group photos Leads Steps back, may record the arrangement
Candid moments Both, from different positions Both, from different positions

Write your own version of this table from the programme. The must-capture moments checklist helps you list what both teams need.

For example, at a cake-cutting the photographer takes the front position for a few frames and then steps aside, so the videographer holds the steady shot for the rest of the moment. This is an illustration of agreeing a swap, not a past job.

Can we arrange both?

Combined photography is available on request, confirmed for each event. If it is possible for your date, we plan the photography and video as one coverage plan. If it is not, we work with a photographer you choose.

What do we agree before the day?

  1. The programme: one run sheet shared with both teams.
  2. The shared moments: which scenes both teams must capture and from where.
  3. Positions and signals: who stands in front, and how they swap.
  4. Lighting: if a flash is used, tell the videographer. Flash can interrupt video, especially during a ceremony.
  5. Handover: when and how each team delivers files, and in what format.
  6. Permissions: who is allowed to publish what, and whether any moments are private.

The run-sheet filming planner is a good starting point, and the event video brief builder turns the answers into a brief. For the wider planning questions, see our guide to mapping time, people and simultaneous moments.

What about ceremonies with restrictions?

Some ceremonies limit where anyone, photographer or videographer, may stand. A nikah, a church wedding or a Hindu wedding may have guidance from the officiant or venue. Ask the officiant what is allowed, and give both teams the same answer. If only one position is possible, decide beforehand who takes it.

Who owns and shares the files?

Each supplier has their own terms for delivery and usage. Our own terms for the video are written into your quote. Ask any photographer for theirs too, and if you plan to publish online, check the permissions and privacy guide and the filming and publication checklist.

If we arrange photography, it is listed separately in your quote so you see each part; a photographer you bring is paid directly by you. See how pricing works.

Tell us whether you have a photographer already or would like us to arrange one. Send the date, venue and the moments both teams must capture, and we will confirm the crew and travel.

Questions people ask

Do you provide photography as well as video?
We can plan photography alongside the video, or plan our coverage around a photographer you already have.
Can the photographer and videographer work at the same time?
Yes, if they agree positions and signals beforehand. The two teams often want the same moment from different places, so we plan who stands where for each key scene.
Can one person do both photos and video?
For a small, simple event it may be workable. For most events, one person doing both means each is covered less well, so we suggest separate people for key moments.
Who owns the files?
Each supplier sets their own terms. Ask both for written terms on delivery, usage and sharing before the day, and keep the answers together.
How do we avoid the two teams getting in each other's shot?
Share one programme with both. Mark the moments where positions overlap, such as vows or a cake-cutting, and agree who takes the front position, who steps back and when they swap.
