Event video purpose and measurement planner

You want your event video to achieve something, and to know afterwards whether it did.

Share your date and area, and we will suggest coverage and confirm what is possible.

Tool

Purpose and outputs

Decide what the video is for first, then choose what you will count. Each level is counted on its own: views are not leads, and leads are not sales.

For example: highlight film, three social clips.

What will you measure?

  • Outputs completed: Videos finished and delivered. This says the work is done, nothing about results. (for example: highlight film delivered)
  • Use: Where and how often the video was actually used or shown. (for example: posts published, screenings held)
  • Engagement: Views, watch time, shares and comments. Attention, not a decision to buy or register. (for example: views on YouTube)
  • Leads: People who took a step you can count, such as a form, a message or a registration. (for example: enquiries that mention the video)
  • Attributable sales: Sales you can link to the video by a stated method, such as a code or a form question. (for example: bookings that used the video's code)

Spend and break-even (optional)

Enter your own figures, all in one currency. Contribution per sale means what one attributable sale adds after its direct costs.

What to count, level by level

  • Outputs completed nothing chosen yet
  • Use nothing chosen yet
  • Engagement nothing chosen yet
  • Leads nothing chosen yet

Gaps in the plan

No gaps against your chosen purpose.

Break-even

Break-even needs a spend figure.

Lead scenario (an assumption, not a forecast)

Break-even needs a spend figure.

Assumptions and limits

  • Break-even = spend / contribution per attributable sale. The whole-sale requirement rounds that up to the next complete sale.
  • Views, shares and watch time are engagement. They are not automatically leads, bookings or sales, and this tool never turns one into the other without a rate you enter.
  • A video cannot be shown to have caused a sale by this tool. Only sales you can attribute by a stated method belong in the sales level.
  • All money figures are yours. This is a planning aid, not a forecast, a quote or advice.

In short

  • Outputs, use, engagement, leads and sales are counted as separate levels.
  • Break-even is spend divided by contribution per attributable sale, rounded up to a whole sale.
  • Zero or negative contribution switches break-even off.
  • Views are never turned into leads or sales unless you enter the rate yourself.

This planner helps you decide what an event video is for before you judge how it did. It separates what was made, what was used, what got attention, what led to contact and what led to a sale.

What is it for?

Event videos are often judged by views alone. Views show attention, not bookings or sales, and counting them cannot show that a video caused a sale. The planner asks for a purpose first, then helps you choose what to count at each level and how many sales would cover your spend.

How do I use it?

  1. Pick the main purpose, add the audience and note the planned outputs.
  2. Add the measures you will track. For each, choose the level, name the measure, and say where the number will come from.
  3. Add a target and a result so far if you have them.
  4. For break-even, go to the “Spend and break-even” section. Enter the spend and the contribution per attributable sale, in one currency.
  5. For a lead scenario, also enter a lead-to-sale rate of your own.

How do I read the result?

The plan lists measures level by level, and the gaps against your purpose. If your purpose is sales but nothing is set for leads, it says so.

Break-even shows the exact figure and the whole number of sales. If you enter sales already recorded, it also shows whether they cover the spend. The lead scenario shows its rate and is labelled as an assumption.

What are the assumptions and limits?

  • Break-even equals spend divided by contribution per attributable sale. The whole-sale requirement rounds that up.
  • Zero or negative contribution switches break-even off.
  • A lead scenario uses only the rate you enter, and shows it.
  • Views are not automatically leads or bookings. Nothing converts one level into another without your rate.
  • All money figures are yours. This is not a forecast, a quote or advice.
  • Everything stays in your browser tab. Nothing is uploaded or saved.

A worked example

This is an illustrative example with made-up figures. You spend RM1,000 on a highlight film, and one attributable sale contributes RM300. The tool shows 3.33 sale-equivalents, so four complete sales cover the spend.

If you then assume, as your own figure, that 10% of leads become sales, it shows about 40 leads for four sales. That is a scenario, not a prediction. If you enter a contribution of zero, break-even is switched off and the tool says why.

When should I message us?

Message us once you know the purpose of the video, even if the figures are rough. We can say what to capture and prepare so you can track what you want afterwards. Use the post-event video asset planner to plan the outputs and deadlines, and the event video budget worksheet to total the cost. The tool for finding out which event videos you need helps you choose the videos, and the highlight films service explains what a highlight involves.

If you know what the video is for, tell us. We can say what to capture and prepare so the numbers you want to track are available afterwards.

Questions people ask

Does the planner predict how many sales a video will bring?
No. It does not forecast results. It shows how many attributable sales would cover your spend, using figures you enter. The lead scenario uses a rate you type in, and it is labelled as an assumption.
What is a sale-equivalent?
It is the spend divided by what one attributable sale contributes. If that comes to 3.33, you need 3.33 sales' worth of contribution. Because a sale is whole, the tool also shows the next whole number, which is 4.
Why is break-even switched off when contribution is zero?
If a sale contributes nothing, or loses money, no number of sales covers the spend. Dividing by zero or a negative figure would give a meaningless answer, so the tool says so and shows no threshold.
Are views the same as leads?
No. Views show attention. A lead is a person who took a step you can count, such as a form or a message. The tool keeps them separate and does not convert one to the other without a rate you enter.
Where should the contribution figure come from?
From you. It is what one attributable sale adds after its direct costs, in the same currency as the spend. The tool holds no market figures, so it cannot suggest one.
