To compare event videography quotes fairly, put them into the same lines: hours, crew, outputs, review rounds, delivery, travel and exclusions. Then ask each supplier to state in writing who is responsible for what.

What makes video quotes hard to compare?

Videography quotes are rarely written in the same way. One supplier lists hours and crew, another lists only the films, and a third gives a single total.

Without a common structure, the lowest number may simply be the narrowest scope.

What does a like-for-like comparison look like?

This is an illustrative example, not a real quote. A company asks two suppliers to cover a half-day seminar.

How do you verify who is responsible?

Ask three direct questions and get the answers in the quote or in an email:

  1. Who is the contracting party? The company or person you will sign with and pay.
  2. Who will film? Ask for the crew to be named in the quote or email.
  3. Who is accountable if something goes wrong? For a late arrival, a missing file or a change in scope, which person do you call?

What about documents, insurance and payment terms?

Many companies require a vendor form, tax details, insurance or specific payment terms. Tell us exactly what yours requires, at the start. We confirm what we can provide, and you can check each document before you sign.

If a clause is contractual or regulatory, ask your own legal or compliance team to review it.

How do you control the budget?

What should a videography quote contain?
At minimum, the event date and venue, coverage hours, crew size, each film or file to be delivered, review rounds, how files are delivered, travel and anything excluded. If a line is missing, ask for it in writing before you compare.
Why do quotes for the same event look so different?
They often cover different scopes. One may include a second camera operator or a full speech recording, while another includes only a highlight. A quote with fewer lines is not always the cheaper choice once missing items are added.
How do we confirm who will actually film the event?
Ask each supplier to state in writing who will film and who signs the contract. For our quote, tell us the venue and date, and we confirm the crew and travel in writing.
Can you meet our vendor registration or insurance requirements?
Tell us the exact documents your company asks for at the start. We check each one and confirm what we can provide before you decide.
Does an enquiry commit us or reserve the date?
