Adding a videographer after the event is planned

The programme, venue and suppliers are fixed, and now someone wants video added.

  • A late videographer must fit your plan, so share the run of the day and the layout first.

A late videographer can usually work if three things are checked before you confirm: where the cameras may stand, what sound they can reach and whether the timing leaves room for the moments you want filmed. If any of the three is closed off, it is better to know now than on the day.

What changes when video is added late?

Everything else is already decided. The hall layout, the stage, the seating, the microphones and the schedule were planned without a camera in mind. So the question is not “what would be ideal?” but “what can we do around what exists?”.

That is a normal situation, and it often works well. It only goes wrong when nobody asks the questions below until the crew arrives.

Access: where can the camera and crew be?

Ask the venue, or whoever manages it, these questions:

  • Does outside filming need advance notice or approval? Some venues ask for notification of commercial filming. For example, the KL Convention Centre guidelines ask for advance notification and coordination of camera positions and cable runs.
  • Where can a camera stand without blocking guests, exits or the photographer?
  • Are tripods, lights or cables allowed in the hall?
  • Where can the crew set up and store bags, and when can they enter?

Sound: what audio can we reach?

Sound is the hardest part to fix late, because the microphones are usually already placed. A viewer forgives a shaky shot but not speech they cannot hear.

Ask your sound team or the venue:

  1. Will there be microphones on the speakers, and can we take a clean feed from the mixer?
  2. If not, can we place our own microphone near the speaker or the podium?
  3. Is there background music or a band that will cover speech?

Timing: is there room to film what matters?

Share the run of the day, even if rough. We look for three things: the moments that must be filmed, the moments that happen at the same time in different places, and the gaps in which the crew can move.

The run-sheet filming planner maps your schedule against the coverage you need. If two things happen at once, such as a performance and a ceremony in different rooms, one camera cannot cover both, and a multi-camera crew would need to be confirmed for your date.

A simple way to fit video into the plan

This is an illustration, not a real booking. Suppose a seminar is fixed for a Saturday in a hotel meeting room, with a hired photographer and house microphones.

  • Your date is available.
  • The venue allows filming, and the camera positions are agreed.
  • The sound plan is clear.

  • The crew and travel, once you tell us the venue and date.

Questions people ask

Is it too late to add a videographer?
Not necessarily. It depends on the date, the venue and what you want filmed. A short notice enquiry is still worth sending. We check availability and what the venue allows, and we tell you early what is realistic for your date.
What do you need from us if the plan is already fixed?
The date, venue, run of the day, names of the other suppliers such as the photographer or the sound team, and the outputs you want. A floor plan or a few photos of the hall also help us understand where cameras can stand.
Can you work with our existing photographer and sound team?
Usually yes, with some coordination. We agree positions so that we and the photographer do not block each other, and we ask the sound team whether we can take a clean audio feed. These talks are easier before the day than during it.
Will adding video change our programme?
It should not need to. Sometimes a small adjustment helps, such as a short pause for a key moment or a marked spot for the speaker. We suggest only what is necessary, and you decide what the programme can accept.
Do late additions cost more?
The quote follows the scope of the work. A late request may limit options, for example if a second camera is not available on your date. Your quote lists what is included so you can see what you are paying for.
