In short
- The editor types what you provide, so the source list must be right.
- Collect names, titles, logos and sponsor order in writing before editing starts.
- Name one person on your side to approve the list and a second to proofread.
- Check every on-screen text again at the draft and again in the final file.
An editor types what you give them, so the person who supplies the list owns its accuracy. Collect names, titles and logos in writing before editing, split the checking between two people, and review the on-screen text at the draft and again in the final file.
Why do these errors slip through?
Names, titles and logos are small details in a long video. People watching for the story do not read the text carefully. Many errors come from a wrong source: an old programme, a social media profile or a logo copied from a screenshot.
They also matter more than they look. A misspelt name or a missing title can be a real embarrassment to the person named, to the organisation and to the family. The final video acceptance checks cover the whole file. This page is about the on-screen facts only.
What do I need to collect before editing?
Gather these in one document or spreadsheet:
| Detail | What to include | Best source |
|---|---|---|
| Full names | Spelling exactly as the person writes it, with any “bin”, “binti”, “a/l”, “a/p” or Chinese-name order | The person, or the organiser’s official programme |
| Titles and honorifics | For example Dato’, Datin, Tan Sri, Dr., Prof., Ir., Ts., Haji or Hajjah, in the order and form the person uses | Protocol team or the person’s office |
| Job roles | The role as it should appear on the day, not an old one | Organiser or human resources |
| Organisation names | Official spelling and abbreviations | Organisation’s own materials |
| Logos | Current version in a high quality file, with any colour or spacing rules | Communications or marketing team |
| Sponsor order | Which sponsors appear and in what order or size | Organiser or sponsorship lead |
| Event name and date | Exact title, date and venue as printed | Organiser |
For a wedding or family event, a simple list of who is who is enough: names, how each person is related to the couple or family, and how they like their name written.
Who should check what?
Split the work so the same person does not both write and approve.
- Supplier of facts. The organiser, protocol team or family member who provides the list.
- Approver. One person who decides the final spelling if there is a conflict.
- Proofreader. A second person who reads every piece of on-screen text at the draft.
- Editor. Applies the list exactly and flags anything unclear, instead of guessing.
For a small family event, one person can be supplier and approver, with a second family member as proofreader.
When should I check?
- Before editing. Send the written list and confirm the editor has received it.
- At the draft. The proofreader goes through every title, caption and credit with the list in hand. Send the corrections in one message, as in giving useful feedback on a video draft.
- At the final file. Look again at every corrected item, because fixes can introduce new errors.
Do not wait for the final file to read the text for the first time. Late changes can be more disruptive, and some may need to be treated as extra work. The revisions and scope-change guide explains how errors and new requests are usually separated.
Subtitles, translations and other languages
If the video includes subtitles or text in another language, names and titles must also be spelt correctly there, and a fluent reader should review the language itself. Read checking the accuracy of subtitles and translations. If you need several language versions, delivering several languages and approval versions shows how to keep them organised.
What we confirm for your event
- That names and titles come as a list, and in what format.
- That unclear spellings are flagged to you rather than guessed.
- How many review rounds the quote includes.
- Whether corrections of facts you supplied correctly count as a revision round.
- Which logo formats we need.
You can record the on-screen items you have checked in the final video acceptance checklist.
If you hold footage and want it edited with the on-screen details verified, see editing your event footage.
If you want an event video where names, titles and logos are checked before export, send us the programme and who is speaking. We can agree who supplies and checks each detail as part of the scope.
