Planning video for a short pop-up event

Your pop-up opens for a short window, and you want the video to catch what mattered.

Share your date and area, and we will suggest coverage and confirm what is possible.

In short

  • Cover the hours that matter most, not every hour the pop-up is open.
  • Setup and the first customers are often worth filming before the crowd arrives.
  • Agree how customers are told about filming and who may appear.
  • Rank what to film. A short window rarely allows everything.

For a short pop-up, film the phases that tell the story, not every hour. Setup, the first customers, the busiest stretch and packdown usually matter most. Decide which of them you need before you pay for coverage hours.

What are the phases of a pop-up?

A pop-up has a rhythm, even if it lasts only a day or a weekend. Each phase gives different footage.

Phase What it shows Worth filming when
Setup Build, styling, product placement You want a time-lapse or a behind-the-scenes story
Opening First customers, the owner’s welcome You want a clean, uncrowded look at the space
Peak hours Queue, energy, customers trying the product You want proof that people came and enjoyed it
Quiet hours Staff talking to visitors, close-ups You need clean product shots
Packdown Handover, wrap-up You want a full story or a “the end” moment

Quiet hours can be better than peak hours for close-ups, because the crew has room to work.

How do we choose hours to cover?

Rank your goals first. A pop-up that wants social content needs different hours from one that wants a record for the landlord or sponsor.

  1. Write down the three outcomes you want from the video.
  2. List the moments that deliver each one.
  3. Mark the times those moments happen.
  4. Cover those hours, plus a short buffer.

Our must-capture moments checklist turns this into a sheet that you, your staff and the crew can all use. If your opening hours are long and the budget is limited, the coverage and overtime calculator can help you test options.

How do we deal with customers on camera?

Customers are not actors. Tell them early and kindly.

  • Put a sign at the entrance and near the main activity, saying that filming is happening and why.
  • Brief staff on what to answer when a visitor asks.
  • Decide whether you will invite volunteers for a planned on-camera moment, such as a first reaction to the product.
  • Respect anyone who prefers not to be filmed. Keep them out of shared versions.

Different uses need different permissions. A private recap for your team is not the same as a public ad. The private and public version planner helps you sort this, and the permissions guide covers the principles.

An example timeline

This is an illustrative example, not a real client. A brand runs a weekend pop-up from late morning until evening. A practical plan:

  1. Cover the final hour of setup, to capture the finished space and the owner’s welcome.
  2. Cover the first hour of opening, while the space is still clean.
  3. Cover the two busiest hours, as the owner expects them.
  4. Cover a short slot near closing for the farewell and any announcement.

The rest of the time, staff can capture simple phone clips for the brand’s own channels, if that suits the plan.

Where else could the pop-up be happening?

Pop-ups happen in malls, event halls, markets and even outdoor spaces. If yours is in a mall, read our guide to filming activations in shopping malls. If it is part of a larger brand tour, see brand activation and roadshow videography.

What should the finished video include?

A pop-up often needs one short film and a set of clips. The film tells the story, and the clips feed your social pages over the following days. Our post-event video asset planner helps you decide what to produce from one day of footage, and event social video clips describes the short formats.

What we confirm for your event

  • How many hours we suggest for your goals, and why.
  • How the crew works around customers and staff.
  • What we need from you before the day, such as the layout and schedule.
  • Which films the quote includes.

When the pop-up is tied to a new product, our product launch event videography service is the closest fit.

Send us your opening hours, the layout and what you most want to show. We will suggest which hours to cover and which moments to prioritise.

Questions people ask

Do we need to film the whole pop-up?
Not usually. Many pop-ups are better served by filming setup, the opening, the busiest period and packdown, rather than every hour. The right choice depends on what you need the video for, and the quote reflects the hours you agree.
How do we tell customers that they are being filmed?
A clear sign at the entrance and near the main activity is a good start. Staff should know what to say if a visitor asks. If someone does not want to appear, they are left out of shared versions. The organiser or venue may also have its own rules.
Can the video show customers trying the product?
Yes, if your approach to customer participation is agreed first. Some brands invite volunteers for a short on-camera moment. Others film only staff and the product. Either approach works if it is clear to everyone before the opening.
What if our pop-up is in a shopping mall?
Malls usually have their own filming conditions, so ask the mall management what they need and send it to us. Our guide on mall activations covers the questions to settle with the mall, the brand and the activation operator.
Can we get a clip to post while the pop-up is still running?
A same-day edit or quick social clip can be requested and is confirmed for each event. It depends on the footage transfer and the posting time you need. Tell us your deadline when you enquire.
