Filming an event across a city and nearby districts

Your event moves between several venues that all sit under one city name.

In short

  • A city or region label is not a venue. List every real address.
  • Check the route between venues at the time you will actually travel.
  • Look for overlaps. One crew cannot film two places at once.
  • Travel and extra crew belong in the quote, so ask for them to be listed.

Check the real route between each venue, at the time you will travel, then see whether your programme overlaps. A region label tells you where the event is, not how a crew gets from one stop to the next.

A city name is not one venue

Names group places that can be far apart. Penang has the island and the Seberang Perai mainland (Penang state portal). Cyberjaya falls under the Sepang Municipal Council in Selangor (MP Sepang), so “near the city” may mean a different local area than guests expect.

So write down each venue’s exact address and town, not only the city. That is the first thing we ask for.

How to check the travel

For each move between venues, find out:

  1. The real route, from one entrance to the next.
  2. The time of day you will travel, because traffic changes.
  3. Where the crew parks and unloads at the next place.
  4. How long setup takes before the first moment must be filmed.

Use a map app set to the actual hour of travel, not distance alone. Then add setup time. The venue filming questions checklist lists what to ask each venue.

Spot the overlaps

Overlap is when two things you want filmed happen in the same window. Put your programme in a table:

Your options when there is an overlap

  • Move the schedule so one crew can cover both. Group sessions by venue or add a gap.
  • Add a second crew for the clashing session.
  • Choose what to drop: decide which moments are essential and which are optional.
  • Record one session in full with a fixed camera, if the other is the priority. We confirm whether this works for your date.

What to send us

Send each venue with its address and town, the programme with times, the videos you want, and any parts that cannot be missed. Before you print the programme

Share your venue list and timings with us before the programme is finalised. A small change, such as moving a session by a short time or grouping sessions by venue, is easy early and hard once guests have been told.

Questions people ask

Is everything in one city one location?
Not for filming. A single city name can cover places far apart, and some places carry a name that sounds like one area while sitting in another. List each venue's real address so we can check the route.
How do I know if one crew is enough?
Look at your run sheet. If events overlap, or the gap between venues is shorter than the real travel time plus setup, one crew will miss something. Then a second crew or a changed schedule is the choice.
Does travel between venues cost extra?
It can. Moving a crew between venues is part of the scope, so we list it in the quote with hours and crew, based on your actual route.
Can the schedule be changed to save travel?
Often yes. Moving a session by a short time, or grouping sessions by venue, can make one crew workable. Raise it with the organiser early, before the programme is printed.
Do you need to visit each venue first?
A visit helps when a venue is large or access is unclear. For simpler venues, photos and a call with the venue contact may be enough. We agree this with you per event.
