In short
- We film the activities as they happen. Nobody is asked to repeat a moment or perform for the camera.
- Participants can opt out, and sensitive moments stay unfilmed or out of shared versions.
- Choose a team film, short clips, a few interviews, or a mix, depending on who will watch.
- The itinerary decides the crew and hours, so a draft schedule is enough to start.
A retreat film works when the team forgets the camera is there. We film activities as they happen, keep the crew small, and give staff a clear way to opt out. You receive a film that feels like your team, not a rehearsed production. Tell us the venue and date, and we confirm the crew and travel.
What do we film at a retreat?
Retreats vary a lot, so we plan around your itinerary. Typical moments include:
- Arrival and opening: the welcome, the leader’s opening words and the first activity.
- Team activities: games, challenges, group tasks, workshops and breakouts.
- In-between moments: meals, travel, conversations and the quieter parts people remember later.
- Reflections: a few short, optional interviews where people say what the retreat meant to them.
- Closing: awards, thank-yous and the group together.
Learning sessions inside a retreat are covered by our seminar and workshop recording page. Our guide to recording workshops with participant exercises explains how to decide what stays in the final video.
Which films can you choose?
| Output | What it is | Best for |
|---|---|---|
| Team film | An edited story of the retreat, set to music | Staff who attended, new joiners, internal sharing |
| Activity clips | Short, separate clips of each activity | Team chats, intranet, follow-up emails |
| Interview collection | Brief reflections from participants and leaders | A more personal record of what people took away |
| Social clips | Vertical or square cuts, only with staff agreement | Employer brand posts. See social video clips |
| Raw footage | Unedited files from the day | In-house editing, if agreed in the quote |
You do not need all of them. Start from who will watch, and we will suggest the smallest set that works.
How do we avoid a staged production?
Three habits keep the footage honest:
- One take. People carry on as they are, and if we miss a moment we film the next one.
- Natural distance. We use longer lenses and stay at the edge, so staff are not performing to a lens.
- Opt-out first. We ask the organiser for a list of people who prefer not to appear, and plan shots around it.
What do we agree before the retreat?
- Purpose and audience: internal only, or also public.
- Itinerary and must-have moments: the must-capture moments checklist helps your team agree priorities.
- Participant consent: how staff are told about filming, how opt-outs are handled and who is the contact. Personal data rules may apply to recordings of identifiable people, so confirm the wording with your HR or data protection contact. The Personal Data Protection Act 2010 is the starting reference.
- Sensitive moments: personal sharing circles, feedback sessions or anything staff expect to stay private.
- Location and safety: access, weather and any water or adventure activities.
Our guide to permissions and responsible publication covers the wider questions about publishing footage of people.
How do we work on the day?
A small crew moves with the itinerary. We check with the facilitator before each activity, find a position that does not disturb the group and record clean audio for any speech that matters. If your retreat spans several days, our multi-day coverage page explains how we plan it.
What moves the quote for a retreat is the number of days, the travel and accommodation, and which films you choose. If the itinerary is still open, we can quote from a draft and confirm once it is final. See how pricing works.
Send us the dates, the location and a rough itinerary, even if it is still changing. We will tell you what coverage fits the activities and how we would keep it comfortable for your staff.
