What we film and for whom

We work with HR teams, corporate communications, admin offices and committees who organise the yearly dinner or gala. A typical evening has arrivals, a welcome, leadership speeches, a meal, awards, performances, games or lucky draws, and group photos. Each of these has a different value to your people.

We ask what the dinner is for: thanking staff, marking a milestone, recognising long service, or presenting the company’s direction. That answer shapes what we film most carefully. What we agree before the day

Dinners run on a tight programme, and the crew needs to know where the important moments fall. We agree with the organising team:

  1. The run sheet: timings, emcee cues, speakers, awards and performances.
  2. The people who must appear: the chairman, guests of honour, award recipients and long-service staff, described by role.
  3. Staff participation: how table shots and candid moments are handled, and whether anyone prefers not to appear.
  4. Audio: how speeches and the emcee will be recorded, ideally taking a feed from the venue’s sound system.
  5. Use of the film: internal only, or also public, and who approves it.

How we work on the day

Before guests arrive, we check the stage, lighting and audio feed with the venue’s team, and agree where the cameras stand so guests and service staff keep a clear path. We also confirm the venue’s rules for filming. For example, convention venues such as the KL Convention Centre ask for advance notification of commercial filming and for camera positions to be coordinated.

During the evening we film what happens as it happens. Where the programme has two things happening at once, such as an award on stage and a performance backstage, an extra camera operator can be added.

Dinners often run late. We stay in touch with the emcee coordinator, so when the programme shifts we know which item is next and keep a camera ready for it. If staff are performing, tell us so a camera is ready for their turn.

Questions people ask

What should an annual dinner film include?
Usually the leadership speeches, the award presentations, the performances and enough of the tables and staff to show the mood. Decide with your committee which of these must be complete and which can be shortened. We help you set those priorities before the day.
Can you screen a short film during the dinner?
A same-day edit can be arranged. It depends on the venue's screen, the programme gap, the editing time and what footage is ready. Tell us the intended screening slot early so we can judge if it is realistic.
How do you handle awards and lucky draws?
We ask for the run sheet and the list of award names or categories ahead of time, and agree who will confirm winners on the night. If winners are called up in quick succession, an extra camera operator may be worth adding.
Can we film in a dark ballroom with stage lighting?
Yes. Hotel ballrooms are usually dim, with strong stage lighting. We check the lighting, the stage and the audio feed with the venue and your AV team, so the speeches are clear and faces are properly lit.
Can the film be shown outside the company?
It can, if you want it to. Staff, guests and performers may need to agree to external use. Tell us whether the film is internal or public, and we can prepare separate versions if needed.
