A new crew can judge a late enquiry well when the first message answers a few plain questions: when, where, what must be filmed, what the earlier crew promised, and who decides. Send those, and we can tell you honestly whether we can cover it.

What does a new crew need in the first message?

Think of this as the smallest brief that lets a crew say yes, no or “only with changes”.

What should you say about the earlier crew?

Be factual and short. Say what they were booked to do, whether anything has already been filmed, and who holds that footage. If the event is part of a series or has several days, say which parts are still open.

This is not about blame. It is so the new crew does not repeat work, miss a promised deliverable or change the look halfway through. Ask the earlier crew, if you can, for their run notes and any shot list.

What may not fit a short timeline?

Core filming is the easiest to move. Extras need more lead time:

  • Drone: approval must come first. The Civil Aviation Authority of Malaysia (CAAM) states that standard drone applications are made at least 14 working days before the activity, so a late job may need a ground plan instead.
  • Livestream or live feed: needs a tested connection and a check with the venue’s own team.
  • Several cameras or crews: depends on who is free on your date.
  • Same-day edit: needs enough crew and time on the day.
  • East Malaysia and island jobs: travel can limit what is possible.

All of these are available on request and confirmed for each event.

A worked example

This is an illustration, not a past client. A company’s annual dinner is in a few days. The first videographer cancelled. The planner sends us: the date, the hotel ballroom, doors at 6.30 pm, a run sheet with three speeches, an awards segment and a performance, the two films the client expects, and the name of one contact who approves.

That message is enough for us to check availability, suggest crew size, and ask the two or three questions that remain. Compare it with “need a videographer for Saturday”, which would take several rounds of questions before anyone can answer.

Who should send the message and who answers it?

Questions people ask

What is the minimum I should send a replacement crew?
Send the date, venue, start and end times, the run sheet if you have one, the films you need, and one contact person. Add what the earlier crew agreed to deliver. With these, a new crew can tell you quickly whether it can cover the event.
Can a new crew take my event at short notice?
Only after checking its own calendar and the details of your event. We confirm availability for each date. If we can cover it safely and well, we say so. If not, we tell you early, so you have time to plan the next step.
Should I share the earlier crew's quote or contract?
Share the scope pages, such as hours, films and deliverables, if you are free to do so. Leave out private pricing if you prefer. The scope tells us what your team and client expect, which matters more than the figures.
What if the earlier crew already filmed part of the event?
Tell us what exists and who holds it. A multi-day event may need only the remaining days covered, and the new films must still match the old ones in style. Ask the earlier crew to hand over their footage or notes.
Can drone or livestream be added when time is short?
Sometimes, but not always. Drone flights need approval first, and a livestream needs a tested connection and a technical check. If either cannot go ahead, we plan a simpler alternative.
