In short
- Half-day and full-day are labels. Different suppliers use them for different hours.
- Ask for the start, finish, access, break and output details in writing.
- Event length is not the same as filming length. Setup and travel can sit outside the hours.
- A quote that lists hours, crew and outputs is easier to compare than one that lists a package name.
A package name does not tell you what you are getting. Two quotes that both say “half-day” can mean different hours, different crews and different videos, so compare the details, not the label.
Why the label is not enough
“Half-day” and “full-day” come from how suppliers sell their time. They are not a standard. One supplier may use half-day for a morning ceremony only, another for any booking under a certain number of hours, and a third may not use the words at all.
The risk is simple. You assume the filming covers the whole event, and the quote only covers part of it. Ask the supplier to write the details down, and use the quote comparison worksheet to line up several quotes side by side.
What every package should spell out
| Item | The question to ask | Why it matters |
|---|---|---|
| Start | When does filming begin: when the crew arrives, or when the programme starts? | Setup and arrival may or may not count |
| Finish | When does it end, and is there a fixed cut-off? | Speeches and dinners often run late |
| Access | When can the crew enter the venue, and where can cameras stand? | Late access shortens real filming time |
| Breaks | Is there a rest period for the crew, and when? | A long day needs planned gaps |
| Crew | How many camera operators, and does anyone stay for the full time? | One operator cannot film two places at once |
| Outputs | Which films come from these hours? | A highlight film and a full recording need different footage |
If any row is blank on your quote, ask before you pay a deposit.
What a half-day package needs to specify
A half-day booking is often chosen for one block: a ceremony, a seminar or a lunch. It works well when your programme fits inside one stretch. Check these points in writing:
- The exact start and finish time of filming.
- Whether travel and setup are inside or outside those hours.
- What the crew does if the programme starts late.
- Which moments are inside the block and which are not.
- Which videos you receive from it.
For example, imagine a seminar that begins at 9am with registration, has the main talks until noon, and ends with lunch. A half-day booking that starts at 9am and ends at noon would miss the lunch networking. That is fine if you only need the talks, but you should decide this on purpose, not find out afterwards.
When a full-day booking makes sense
A full-day booking fits an event with several parts: a morning programme, a break, an afternoon session and an evening dinner. The questions change slightly:
- Will the crew change over, or will the same people film all day?
- Are there long gaps with nothing to film, and can the booking skip them?
- Do two things happen at the same time? If so, one camera operator is not enough. See our guide to mapping simultaneous moments.
Some events do not need a full day of filming. A short event with a long setup is a different case, covered in booking a short event with an unusually long setup.
Overtime and late finishes
Ask what happens if the event runs over. Some quotes stop at the agreed time. Others allow extra time on request. Our coverage and overtime calculator helps you think through how long you might need, but any extra time must be confirmed with the supplier for your date.
What we confirm for your event
- The filming start and finish time, written on the quote.
- Whether setup and travel sit inside those hours.
- How many camera operators are included.
- What happens if the programme starts or ends late.
- Which videos these hours produce.
Our booking scope checklist lists more of these questions. To see what a package leaves out, read agreeing what an event video package excludes.
What moves your quote
For this kind of booking, the filming hours, the number of camera operators and the outputs move the quote most. See how pricing works and our event videography service.
Send us your event date, venue, expected start and finish, and the videos you want. We will write the coverage hours, crew and outputs into your quote so nothing depends on a package name.
