In short
- We cover the show as a whole: opening, floor, stage sessions and exhibitor moments.
- Organiser priorities are ranked first, then exhibitor footage is added within the hours.
- Filming rules and exhibitor consent are settled before the doors open.
- A multi-day show can be planned day by day, with one film or a daily cut.
Good exhibition coverage starts with a ranked list of what the organiser needs to show, then fits exhibitor footage inside the hours that remain. We plan the show as a whole, so nothing important is missed and no hall is filmed twice.
What we film at an exhibition
A show floor has several kinds of moments, and they need different handling:
- Opening and VIP walkabout: the ribbon cutting or opening speech, and the route guests take through the halls.
- The floor: crowds, aisles, signage and the scale of the space.
- Exhibitor highlights: demos, product moments and conversations at stands, chosen from a list agreed with the organiser.
- Stage and seminar sessions: talks, panels and launches that run inside the show. A full session recording is a separate output; see conference and convention videography.
- Sponsors: the moments sponsors were promised, listed in advance. The sponsor coverage checklist helps you write them down.
The outputs
| Output | What it is | Best for |
|---|---|---|
| Highlight film | An edited story of the show | Next year’s exhibitor sales and visitor promotion |
| Daily recap | A short cut for each show day | Social channels and sponsor updates. On request |
| Social clips | Short cuts for each platform | Posting during the show |
| Sponsor and exhibitor clips | Short pieces for specific partners | Sponsor reports and exhibitor thank-yous |
| Session recordings | Talks kept complete | Members or visitors who could not attend |
What we agree before the show opens
- Organiser priorities, ranked: for example the opening, key exhibitors and the busiest hours. Everything else follows from this list.
- Filming rules: venues often require advance notice for commercial filming and coordination of camera positions. For example, the KL Convention Centre event guidelines ask for notification and venue coordination, so we ask each venue for its own rules.
- Exhibitor consent: who tells exhibitors they may be filmed, and which stands are off limits.
- Hours and halls: how the crew moves between halls, and whether more than one camera operator is needed. See simultaneous coverage for mapping parallel moments.
- Delivery: which cuts are needed during the show and which after, and who approves them.

How we work on the floor
Where the venue allows, we check light, sound and power points before the doors open. Show halls are often loud, so we record speech close to the speaker wherever we can. The crew keeps to aisles and agreed positions so stands and visitor flow stay clear. A floor plan marked with the main aisles, stage and entrances helps us plan the route before the first day.
Multi-day shows are planned day by day. Our multi-day coverage page explains how repeated days are scoped. If an exhibitor wants their own booth filmed, that is a separate scope, described in exhibitor booth videography.
When sessions run in parallel
When sessions run in parallel with the opening or a busy floor, we agree what is filmed live and what is picked up afterwards, or add a second camera operator. Multi-camera crews and daily cuts are available on request, and we confirm them for each event.
Exhibitors can say no, and the organiser’s policy decides. We leave a stand out of the film unless it is agreed. Footage of visitors is kept natural and respectful, and the organiser decides how it will be published.
What moves the quote for a show is the number of days, hours each day, halls, crew size, travel and outputs. Compare quotes with our quote comparison worksheet, and see how we price.
Send the show dates, hall or venue, and the three things the organiser most needs to show afterwards. We will suggest how to split the hours across the floor, the stage and the exhibitors.
