In short

  • Each campus manages its own halls and car parks, so each has its own approver.
  • A convocation here can run over several days and sessions, so plan crew time per session.
  • Check participant notices and caption languages before the day.

Kota Samarahan is a town near Kuching where many events happen on campuses and at training institutes. Sessions, approvals, participant consent and caption languages are the main things to settle before the day.

Which institutions are here?

The town has Universiti Malaysia Sarawak (UNIMAS), a UiTM campus and other training institutes. Each has its own halls, security and approver, so a convocation at one campus follows different rules from a seminar at another.

UNIMAS held its June 2022 convocation at Dewan Tunku Abdul Rahman (DeTAR Putra) over three days, with 3,695 graduates receiving scrolls. That is the pattern to plan for here: several sessions over several days, not one long ceremony.

What is different about filming here?

Sessions across days. Ask the faculty for the session list per day, and decide which sessions need a full recording and which a short clip. We scope crew time per session, so a clear list keeps the quote accurate. Our university convocation videography page explains the coverage.

One approver per campus. Halls, car parks and sometimes whole buildings are managed by the institution. Ask the organising department who approves outside crews, and when the crew can load in. Our venue filming questions checklist lists what to ask.

Several sessions at once. A seminar day may have a plenary, parallel sessions and a poster area. Use the simultaneous coverage planner, and see seminar and workshop recording for what a full session recording involves.

Many people, many preferences. Students, staff and visitors may prefer not to appear in a video posted publicly. See our guide to planning participant notices and filming preferences.

Languages. Talks may switch between Malay and English, and some guests may need translation. The caption and language planner helps you decide what to specify.

A short planning checklist

  1. Confirm the campus, the hall and the person who approves outside crews.
  2. List the sessions by day, and which need a full recording.
  3. Plan how participants are told about filming, and how they can opt out.
  4. Ask whether sound can be taken from the hall’s system.
  5. Choose the caption languages, and who checks names and terms.

The universities and higher education guide covers wider planning.

Events in the city or the wider district

If part of your programme is in the city, such as a gala dinner or a conference hall, see Kuching. Sarawak-wide questions are on the Sarawak page. The outstation filming budget worksheet lists the travel items to expect.

Send us the campus or institute, the hall, the date and the sessions you want filmed. We confirm the crew and the travel.

Questions people ask

Do we need the university's permission to bring a videographer?
Most institutions have rules for outside crews, so ask the department or events office early. Ask who signs off access, parking and the use of halls, and send us the reply. We plan around what the institution confirms.
Can you film a UNIMAS convocation with hundreds of graduates?
Yes, with a plan. UNIMAS held its June 2022 convocation over three days at Dewan Tunku Abdul Rahman (DeTAR Putra), so ask the faculty which sessions you need covered. We confirm the crew for each day. The questions to settle are the running order, camera positions and whether names are read on stage.
How do we handle students who prefer not to be filmed?
Tell participants before the event that filming will happen, and agree a simple way to opt out, such as a marked area or a sticker. We keep those people out of the frame where we can. Our guide covers participant notices.
Can a seminar in English and Malay have captions?
Yes. Captions and translation are available on request. Tell us which languages are spoken, who will check names and terms, and whether you want captions burned in or as a separate file.
Is Kota Samarahan the same as Kuching for filming?
They are close, but separate places with different hosts. A Kota Samarahan campus has its own gate, halls and approver. Tell us the exact campus or venue so the route is planned from the right place.
